Executive Assistant (f/m), preferably based in Berlin (full time)

About us

We are a recently launched, European online campaigning organisation 

in the spirit of the amazing work done by our friends at Campact.de in Germany and 38Degrees.org.uk in the UK. 

Our idea is to respond to the crisis of European democracy with creative online campaigning. Having launched in September 2015 with great success (820 000 members so far), we are now focused on continuing our fast growth – and we are looking for a campaign assistant to support our work in French.

You would be joining a team of dedicated activists located all over Europe e.g. Belgium, France, Germany, Italy, Poland, Romania, Slovenia, Spain and UK.

About the role

Your job is to assist our Executive Director and Campaigns Director in doing their job the best possible way, taking over administrative tasks like formal correspondence, calendar scheduling, travel, arranging meetings, collating reports etc. making sure they can do what they (hopefully) do best.

The role is a great opportunity to learn about an international progressive movement.

Your tasks will include :

  • Assisting to Executive Director Oliver Moldenhauer and Campaigns Director Mika Leandro
  • Arranging meetings for our management team
  • Preparing Board meetings
  • Preparing formal correspondence to donors, tax authorities, banks etc. in German and English
  • Filing our documents like accounting papers, membership roll, founding documents etc
  • Taking care of the Berlin office
  • Manage a student assistant in the Berlin office
  • Bringing together input from various sources into reports to the board, donors and the authorities
  • Supporting the Management team with other administrative tasks
  • Assisting in Recruitment and onboarding processes
  • Organising the logistics of our internal retreats.

About you

You love communicating with people and you are well organized and reliable. You are smart and eager to learn and great in juggling competing priorities. You share our values and want to support our political goals and campaigns.

You:

  • Have several years of experience in a similar role
  • Speak and write basically perfect and error-free English and German.
  • Basic legal understanding. (Possible task: “Look up our statutes. Find out when we have to have our Jahresvollversammlung, and who has to invite who by when. Draft an invitation.” Or “Get a notariell beglaubigte Kopie unserer Satzung vom Registergericht“)
  • Are happy to work in an exciting “startup” environment, with all its opportunities and uncertainties
  • Are quick to understand new software and online tools as well as Office software including spreadsheets
  • Are open to working in an intercultural, decentralised team
  • Look forward to working in a team where we all strive towards learning from each other in order to have the biggest possible impact

Additionally, the following skills / experiences would be a plus:

  • Any other EU Languages, esp. French.
  • Statistics / Data analytics
  • Formally trained in business and accounting. (“kaufmännische Ausbildung”)

Terms and conditions

The position is full time on a permanent contract with six months probation, starting as soon as possible. The location for the job will be our office in Berlin with occasional travel in Europe.

Salary will be similar to German public service. (“In Anlehnung an TVöD 10.”)
